Position overview
Are you independent, diligent, proactive, and fun?We have a full-time, permanent opportunity for an Administrative Assistant. Supporting the Director, Engineering Projects and the Director, Climate and Environment, this role is responsible for managing schedules, meetings, communications, and reporting; tracking budgets and processing invoices; making travel arrangements; and providing support for meetings.
Key responsibilities include:
•Manage and provide administrative support for two directors in areas including, but not limited to budget management, contract management, business plan reporting, and record keeping.
•Managing calendars, voicemail, and e-mail accounts.•Coordinating meeting materials including compiling presentations.
•Scheduling, coordinating, and arranging on-site and off-site meetings, including facilities, equipment, and catering.
•Taking detailed meeting minutes.
•Making travel arrangements.
•Utilizing Maximo, a data hub and various other tools to construct and disseminate departmental Key Performance Indicators.
•Provide ad hoc program support as needed to assist with various tasks and projects
Key qualifications include:
•Two to three years’ recent, related experience in administration or as an executive assistant supplemented by a college certificate or diploma; or an equivalent combination of training and experience
•Experience working with ERP software (e.g. Maximo, Oracle) for managing expenditures and budgets
•Proficiency with Microsoft Office Suite (Excel, Outlook, PowerPoint, and Word)
•Ability to prioritize and manage multiple tasks with a willingness to work under pressure to meet deadlines•Strong organizational ability.
•Excellent written and verbal communication skills.
This position is open to both Vancouver Airport Authority employees and external applicants. alary Range: Band 4, $56,911 to $74,375 per annum, based on 37.5-hour work week. This is individually tailored to reflect your unique experience, qualifications, and internal equity.
